Collaborating with Opposing Parties in Cleardox

In Cleardox, you have the option to invite your opposing party (or a third party) to collaborate on side markings in the materials collection or extract, comment on content, and more.

When you invite your opposing party into Cleardox, they have the following capabilities:

  • Insert their side markings in a predetermined color that you choose
  • Comment on content, such as which pages should be deleted, which exhibits should be included, etc.

By collaborating directly with the opposing party in Cleardox, you gain the following advantages:

  • Avoid having to compile all documents and send them via email, then split the combined PDF again if pages or exhibits need to be deleted or added.
  • Easily keep track of side markings from both parties by using different color choices.
  • Comply the data minimizing principle in GDPR by avoiding multiple versions being sent back and forth via email, keeping everything within Cleardox.

How to Collaborate with Your Opposing Party in Cleardox

 

1. Navigate to the person icon on the left side.

2. Select "Invite User."

3. Enter the user’s email address.

4. Then, consider the following options:

    • Create password (recommended): When sharing documents with people outside your organization, it's a good idea to enable this option. A password will be generated, which you can send separately to the opposing party.
    • Can view original content: The opposing party can see any redacted content that you have redacted but will only be fully redacted upon download. For example, if you have included a non-published judgment and redacted it in Cleardox while preparing your extract or materials collection, they can see the original content with this function enabled. Unless there is a special reason, we generally recommend not enabling this function.
    • Access to Legal Binders: When you select this option, the recipient can mark in the document. Otherwise, the recipient can only comment on the documents. When you select this option, you can also choose the color the recipient should use for marking.

5. Click "Send." The recipient will then receive an email with a link to the specific case in Cleardox. Remember that the generated code should be sent separately.
