Even though several users can have access to the project, only one person can work in a document at a time. This ensures that changes don’t overlap or cause confusion.
Roles in Cleardox
When you invite someone to a project, you assign them a role:
- Viewer – Can access the project but cannot make changes
- Editor – Can actively work on the project, including anonymizing and redacting documents
If you want someone to be able to edit or redraft content, make sure they have the Editor role.
How to invite a colleague
To invite someone to your project:
- Click Invite user in the left-hand menu
- Select Share and then Invite user
- Enter your colleague’s email address
- Assign them a role (Viewer or Editor)
- Click Send
Once invited, your colleague will have access to the project and, depending on their role, can begin collaborating immediately.

Collaborating on anonymization
Once a colleague has the Editor role, they can work on anonymization within the shared project:

Transfer document for continued work
If you want someone else to take over the document entirely so they can continue redacting in your absence:
- Click the two people icon
- Select Share → Transfer
- Enter the colleague’s email and send the transfer request
The person must accept the transfer for it to take effect. Once transferred, the document will no longer appear in your profile — and if you need it back you must have it transferred back to you.
Collaborating with comments
Cleardox’s comment feature allows reviewers and editors to work together on feedback without transferring ownership:
- Add comments anywhere on a page
- Highlight specific text that requires discussion or further action
- Comments appear in the sidebar and help track collaboration
